【Philosophy of personal information Protection】

MKDF, Inc. (hereinafter referred to as “MKDF”) is engaged in business activities with the provision of system consulting and engineering, and solution planning, sales, and operation as its core business activities. We recognize that the personal information we obtain from individuals through our business activities and the personal information of our employees (hereinafter referred to as “personal information”) is important information for us and that it is our important social responsibility to ensure the protection of such personal information. Therefore, we handle personal information obtained through our business activities in accordance with the following policy to provide “peace of mind” to the individual and fulfill our social responsibility with regard to the protection of personal information.


  1. Acquisition, use, and provision of personal information
    • We will acquire personal information in a lawful and fair manner.
    • We will use personal information only to the extent necessary to achieve the purpose of use.
    • We will obtain the prior consent of the individual when providing personal information to a third party.
    • We will not use the acquired personal information for any other purpose, and will take measures to ensure that personal information is not used for such purposes.
    • If it becomes necessary to use personal information for purposes other than those specified, we will obtain the consent of the individual before using the information again for a new purpose.
  2. With respect to laws, national guidelines, and other norms (hereinafter referred to as “laws and regulations, etc.”)
    • We will endeavor to keep abreast of laws and regulations related to the business of handling personal information, and will ensure that all employees engaged in our business (hereinafter referred to as “employees”) are aware of and comply with such laws and regulations.
  3. Safety Management of personal information
    • We will establish and maintain a system to take prompt corrective measures for the safe management of personal information in order to prevent various risks such as unauthorized access to personal information and leakage, loss, or damage of personal information.
    • We will conduct inspections and promptly correct any violations or accidents that are discovered, as well as implement preventive measures against weak points.
    • We will ensure that all employees are thoroughly trained in safety issues.
  4. Complaints and Consultations
    • For complaints and consultations regarding the handling of personal information, we will establish a personal information inquiry desk, build a system that enables prompt response, and respond to such complaints and consultations in good faith.
  5. Continuous Improvement
    • The Company’s personal information protection management system will be monitored and audited for compliance with internal rules for the protection of personal information, and efforts will be made to detect violations, incidents, accidents, and weak points, which will be reviewed by management. We will reflect these findings in our management measures and internal rules, and strive to continuously improve our personal information protection management system.
      In making improvements, we will comply with laws, regulations, and JIS Q 15001.

【Retained Personal Data, etc.】

With respect to our retained personal data, we will accept requests from the person concerned or his/her representative for “notification of purpose of use, disclosure (including disclosure of records of provision to third parties), correction, addition, deletion, suspension of use, erasure, and suspension of provision to third parties” (hereinafter referred to as “Disclosure, etc.”), we will promptly respond to such requests. The procedures for requesting Disclosure, etc. are as follows. 1.

To make a request for disclosure, etc., please submit the Personal Information Disclosure Request Form by any method convenient to you (e-mail or mail).
When submitting by mail, please use a method that allows us to confirm a record of delivery, such as delivery recorded mail or registered mail.
We would appreciate it if you could write “Request for Disclosure of personal information Enclosed” in red ink on the envelope.

2. Identity Verification

Upon receipt of the Personal Information Disclosure Request Form, we will verify the identity of the person making the request by telephone.
However, if we are unable to verify the identity of the applicant by telephone, we will ask the applicant to submit a copy of one of the following
driver’s license, certificate of residence, health insurance card

3. Request for Disclosure, etc. by proxy

If you wish to authorize a representative to make a Request for Disclosure, etc., please have the following documents ready in addition to the Personal Information Disclosure Request Form.

(1) Documents to verify the identity of the agent (copy)
One of the following: driver’s license, copy of certificate of residence, or health insurance card
*Please prepare a copy with the registered domicile filled in.
(2) A letter of attorney (the power of attorney must be stamped by the principal and the certificate of seal registration of the seal must be attached. If the proxy is a legal representative such as a person with parental authority, a document showing the relationship with the principal may be submitted in lieu of a letter of attorney).

4. Fees for requests for disclosure and notification of purpose of use

A fee of 500 yen (including tax) will be charged for each request for disclosure of personal information and notification of purpose of use.
To pay the fee, please transfer 500 yen (including tax) by bank transfer.
*We will provide you with the bank account information for the bank transfer upon verification of your identity.
*Please bear the bank transfer fee.
Please note that we will not be able to disclose or notify you of the purpose of use if the fee is insufficient or if we are unable to confirm the transfer.

【Regarding measures taken for the safe management of retained personal data

In order to handle personal information properly and safely, we have established a personal information protection policy and introduced and are operating a personal information protection management system in accordance with JIS Q 15001. In light of the external environment, etc., and in accordance with the internal rules established based on the management system, various safety control measures are implemented from the organizational, human, physical, and technical perspectives in the actual handling of personal information.
